How do you want to Check-In & -Out?
1. Download the Hotelbird App
To use the digital room key, you will need the “Hotelbird” app. You can find it on the AppStore or on GooglePlay. With the app, you have the flexibility to choose between a physical or digital room card at any time after your check-in
2. Create a User Account
Register with your email address and a password of your choice. Following this, you will receive a confirmation email containing a code that you must enter in the app. To streamline the process, use the same email address as you did when making your booking.
Next, you can complete your profile by adding contact information and, if applicable, business details to your Hotelbird profile. These details can be automatically filled in for future online check-ins, making the process even more convenient.
3. Start the Online Check-In
Just one day prior to your arrival, you will receive an email invitation from us, inviting you to begin your online check-in. Simply log in to the Hotelbird App and select your corresponding booking. If you use the same email address, it will be automatically pre-filled.
Alternatively, you can opt to add an existing booking by choosing your hotel and providing your name along with your booking number. Then, click on “Find Booking” and proceed to initiate your check-in.
4. Fill in the registration form
You can either have your personal details automatically populated or enter them manually. After selecting a payment method (Visa, Amex, or Mastercard) and confirming the legal notices, complete the check-in process with a digital signature. All this information is required by the hotel to issue the legally mandated registration form.
5. Generate Your Room Key
Once your room is ready for occupancy on the day of arrival, you have two options to access it:
I. The Digital Key
This digital key on your phone provides access to all doors in public areas, the elevator, and your room. You can find the key on the home screen of the Hotelbird App after selecting your current hotel. To use it, simply click on the key icon and then on your room number.
II. The Classic Room Card
Alternatively, you can obtain a physical room card through the QR code in the app at the self-check-in counter in the lobby.
The QR code can be accessed at any time via the key icon on the app’s home screen and added to your digital wallet. You will also receive this QR code via email.
With this, your check-in is complete, and you can proceed directly to your room.
6. Check out via App
Through the Hotelbird App, you have the convenience of viewing and reviewing your invoice. You will receive an overview of any outstanding amounts, which you can securely settle. Your invoice will then be sent to you conveniently as a PDF via email. Once your invoice is settled, you can check out independently.
Please note: When you check out, all key cards will be deactivated, and you will lose access to your room and the elevator.
1. Access reservation
One day prior to your arrival, you will receive an email invitation from us to complete the online check-in process. Click on “Check-in Now” in the email. You will then see an overview of your reservation. You can log in to your Hotelbird account or register, and conveniently add your information to have it automatically filled out.
2. Fill in the registration form
Please click on “Check-in” on the home screen. You can either have your personal details automatically filled in or enter them manually, along with your payment information. This information is required by the hotel to issue the legally mandated registration form.
3. Receive check-in-pass
After completing the check-in, you will find your check-in pass both in your guest folder and receive it via email from us.
In the hotel lobby, you will also find the Hotelbird terminal. Upon your arrival, simply scan the QR code at the terminal to encode your room key.
4. Check out online
One day before your departure, you will receive an email invitation from us for online check-out. Click on “Check-out Now” in the email. You will then see an overview of your reservation. Please click on “Check-out” to initiate the digital check-out process.
Through the web portal, you can view and review your invoice. You will receive an overview of any outstanding amounts, which you can securely settle. Your invoice will be sent to you conveniently as a PDF via email.
In the lobby, you can then complete the check-out process at the self-check-out terminal.
Terminal Check-In & -Out in the Lobby
1. Access reservation
In your hotel’s lobby, you’ll discover the Hotelbird Terminal. Simply scan the QR code from the app or the PDF generated during the web check-in. Alternatively, you can use your last name and booking number to locate your reservation.
2. Fill in the registration form
After entering your information, follow the on-screen instructions and place your card on the encoder to generate your room key.
3. Check out at the terminal
Scan the QR code from the app or the PDF from the web check-in. Alternatively, you can use your last name and confirmation number to access your reservation. Now you can view and check your bill. You will receive an overview of any outstanding amounts and can pay them securely. You will then receive your invoice conveniently as a PDF by e-mail.
